Getting Started/Uploading your documents
Uploading your documents
Add your documented information so the AI can assess it against your standards.
Uploading
Open Documents and choose Upload document. Drag a file in or browse for one, then give it a title, a type — Policy, Procedure, Work Instruction or Record — an optional description and tags. Files can be up to 50 MB.
Which files the AI can read
StayEvident extracts text from:
- PDF (text-based — scanned PDFs and images are stored but not read, as there’s no OCR yet)
- Word (.docx)
- Plain text (.txt) and Markdown (.md)
You can store other file types — spreadsheets, images, older .doc files — as records, but the AI won’t read their contents. If a key document exists only as a spreadsheet or scan, export it to PDF or .docx first.
What happens after upload
Each upload is processed in the background: the text is extracted, split into passages and indexed for both keyword and semantic search. Once processing finishes, the document is available to your next AI assessment and appears in search.
Versions
Upload a new version of a document from its detail page. The previous versions are kept in its history, and the newest one is the version that the AI assesses.
Next steps
Once your documents are in, run your first AI assessment. If your team isn’t in the system yet, see Inviting your team.
